MileIQ Team Launches New Microsoft Garage Project to Simplify Expense Management – Microsoft Garage

In the fall of 2015, a startup team committed to making mileage logging easier joined Microsoft to expand their ability to empower the self-directed worker. Today, the team that created MileIQ now announces an iOS app to simplify expense management. Spend, a Microsoft Garage project, is now available for download in the US App Store.

The Microsoft Garage has released dozens of projects in the four years following the October 2014 launch of its Garage project program. Several projects have gone on to become features of flagship Microsoft products or new, branded products in their own right. Both self-organized, grassroots teams and arms of Microsoft product groups have leveraged the program to collect user feedback, add new features, and refine their approach.

Spend joins a host of Garage projects that have narrowed in on a specific target customer to understand their needs and build scenarios that tackle acute problems. Sports Performance Platform worked with the Seattle Seahawks, Benfica, Cricket Australia, and Real Madrid among other major sports teams and organizations. Video Indexer—the once-titled Video Breakdown and Garage project alum—synthesized multiple Microsoft Cognitive Services into an improved experience and is now offered as a standalone Azure Media Service. Microsoft Kaizala began its journey focusing on mobile collaboration scenarios, getting its big break working with the Indian state government to organize a massive holiday event attended by over 20 million people.

Hassle-Free, On-the-go Expense Management

Spend is mobile-first and built with the user in mind, making it simple to track expenses for reimbursements or taxes

• Quickly manage all your purchases for your expense reports with automatically tracked expenses from a connected credit card, debit card or bank account
• See purchases in a feed and easily classify expenses as business or personal with a single swipe
• Edit purchases or bulk classify expenses through the web dashboard
• Create accurate reports with only a few clicks for the week, month, or another customer period
• Fully customize reports which are available in either spreadsheet or PDF, commonly-used formats compatible with leading accounting and expense management software
• Snap pictures of receipts and attached to purchase with additional features for easy cash purchase management
• Track confidently: Spend uses 256-bit encryption, bank-level security, with Microsoft certifications

Spend, a Microsoft Garage project

The team has long focused on creating solutions that simplify work and empower self-directed workers, and built its first product MileIQ to enhance the mileage logging experience. When you’re on the road a lot, it can be time-consuming and chaotic to organize mileage and gas information for reimbursements or tax deductions. Now, the team is also turning its attention to another pain point for this audience: expense management.

“Keeping, sorting, and tracking paper receipts is annoying and inefficient. Spend uses intelligent features to bring receipt and expense tracking to the modern era,” says Heman Chawda, Product Manager for Spend. Built for mobile and designed around those always on the go, Spend takes a fresh approach to expense management. “It’s a great opportunity for us to be able to explore this space,” shared Nat Robinson, General Manager of MileIQ. “We are a growing team at Microsoft working on a number of experiences that empower small and medium businesses. The Microsoft Garage gives us the chance to offer a simplified expense management experience and really hone the value we provide. This is an important area of investment for us—we’re really excited to take this first step.”

At Workday Rising, skills ontology feature for customers unveiled

People define their skill sets in different ways, and this dilemma makes it difficult for firms to sort, search and track employee abilities. Organizations that don’t understand the skills of their employees may not know how prepared they are to compete in the marketplace. At its Workday Rising conference earlier this month, Workday detailed a new tool to create universal definitions for skills.

Workday plans to create a skills ontology for its customers. The underlying technology, a machine learning platform, was included in its just-released Workday 31 platform. This system attempts to harmonize and organize skills.

From Workday’s perspective, a skills ontology is not just a nice-to-have feature; rather, its users need to have common skill definitions for workforce modeling, the company said. Workday is adding the capability to its platform as a result of its acquisition of Adaptive Insights, a financial modeling platform. This modeling is being extended to workforce data.

These skills definitions are needed, according to Workday Rising attendee Paul Foley, HRIS director at Babson College in Wellesley, Mass.

For instance, Foley said some people may list “Microsoft Word” as a skill on a resume, while others write “MS Word” or just “Word.” These variations are repeated in skill after skill, he said.

“Having a common dictionary that everyone is sharing gives us more standardization,” Foley said. The capability can be used for recruiting and developing talent internally, and it will make it easier to search and track people, he said.

Skills analysis is a bundled HCM feature

Although this capability is bundled in its human capital management (HCM) platform, Workday Rising attendees were told they must opt in to use the feature, because they will be sharing the data in a skills cloud.

The machine learning system underneath the skills ontology will make recommendations to users. For instance, a recruiter listing a skill in a job ad may be prompted to use a different term that more accurately reflects the desired proficiency.

Workday’s extension of financial modeling to the workforce is one of the reasons why the firm is describing this capability as “foundational.” Users who consult the modeling tool to plan a new product line, for instance, will also need to know what skills may be needed. It will tie this data in with budgeting.

Skills measure workforce capability

Understanding skills is increasingly important because of shifts in workforce management, said Cristina Goldt, vice president of HCM products at Workday, based in Pleasanton, Calif.

Skills have “become the currency in terms of how we evaluate people,” more so than job titles or experience, Goldt said. But skills data is complex and chaotic, which makes it difficult for organizations to understand the skills that their people have or what they may need, she said.

However, some Workday users may not want to share skills information for analysis.

“Certain organizations have skills that they don’t want to share, because they consider those their competitive advantage,” Goldt said.

Nationwide sees ups, downs with self-service Tableau tools

With assets totaling in the hundreds of billions of dollars and customers in the millions, Nationwide Mutual Insurance Co. is a behemoth that regularly inputs and outputs massive amounts of data.

The Columbus, Ohio, company’s IT teams have turned to self-service analytics software — in particular, self-service Tableau tools — to handle Nationwide’s data-reporting demands.

Tableau, IT and analytics at Nationwide

Michael Warling, a data strategist for infrastructure delivery analytics at Nationwide, speaking ahead of the Tableau Conference 2018 in New Orleans, at which he is scheduled to give a presentation, explained that the IT team’s efficiency is due, at least in part, to the ease of use of self-service Tableau tools.

Meanwhile, over the last few years, as analytics and infrastructure tools have become more automated and simpler to use, the IT department at Nationwide has grown more streamlined and focused on aiding other departments in a hands-off, supporting role.

For Warling and his team, their top responsibilities involve finding actionable data insights for other departments. Using self-service tools, like the self-service Tableau analytics software, the team creates dashboards and applications to enable business users to dig into the data themselves.

It’s ultimately up to the user to decide how the information is presented and in what platform, but, largely, the team uses Tableau, Warling said.

Benefits and pitfalls

[Tableau is] the Maserati of our BI tools.
Michael Warlingdata strategist for infrastructure delivery analytics, Nationwide

The vendor’s self-service BI and data visualization tool is fast, easy to use and versatile, Warling said, noting that the platform’s recent steps to integrate AI and machine learning capabilities for more automated insights have been particularly helpful.

To the team, Tableau is seen as the “Maserati of our BI tools,” Warling said, referring to the high-end Italian auto manufacturer. Still, he added, “sometimes you need a pickup truck.”

Other self-service BI tools, like Qlik and Microsoft’s Power BI, sometimes offer particular features that Tableau might not offer, or they might be more efficient at taking on the problem at hand, Warling said.

“There are some gaps in what Tableau can functionally do,” Warling said. However, he added, in the past, the company has “never let those gaps go for more than a couple iterations” of the software.

Education and guidance

Still, he and his team sometimes face difficulties when presenting users with their dashboards.

“When we produce a self-service tool and give it to the business customer, we can assume that’s all we need to do,” Warling said. “Well, that’s not always true.”

The team is working on providing customers with more guidance on how to use features like self-service Tableau analytics tools — the topic about which Warling is scheduled to speak at the Tableau Conference 2018.

It’s a common problem, Warling said, and the team’s efforts to deal with it hopefully will offer others useful experience-based guidance for overcoming it in their own organizations.

The Tableau Conference 2018, scheduled for Oct. 22 to 25, is set to host thousands of attendees, who will take part in talks, workshops and hands-on events with employees, partners and users of Tableau.

The event is a way for Tableau and its partners to connect with current and potential customers and for attendees to learn more about some of the latest BI tools and interact with other users and vendors.
